Multi-branch shops on Excel: how to consolidate and when to switch
Most multi-branch shops start with a separate Excel file per branch and add them up by hand at month end. That works with two branches and modest sales, but errors creep in once stock moves between branches and once the shop registers for VAT, because the law requires VAT to be filed per establishment unless the Director-General approves combined filing. Each branch figures must therefore match that branch own documents
Common slips when combining several files
- A transfer is recorded out of one branch but not into the other, or entered twice, so the combined stock goes missing or inflates
- Branches use different names and codes, so one product splits into several rows when combined
- The consolidation formula pulls last month file, or a branch sent an outdated version
- Cash a branch transfers to the central account is counted again as sales
- Sales of VAT branches get mixed, so each branch output tax no longer matches the invoices it issued
VAT with several branches
Under Revenue Code section 83, a VAT registrant with several establishments files and pays separately for each, unless the Director-General approves combined filing, requested on form P.P.02. A shop without that approval prepares a P.P.30 for each branch from that branch own sales and purchases
In practice each branch file must keep its own output and input tax clearly separate. Tax invoices issued must state head office or the branch number, matching the branch that actually made the sale
If you stay on Excel, do this
- Use one product list and code set for all branches, edited in one master file
- Record each transfer with the same number on both sending and receiving sides, and match them monthly
- Set one deadline for every branch file and name files by month
- Keep output and input tax sheets per branch and do not merge them before P.P.30
Signs it is time for one system
- A third branch opens, or stock moves between branches weekly
- Month-end consolidation takes more than a day
- The owner wants every branch sales daily, not monthly
How to do it in the app
In GORINY all branches sit in one account. Stock is kept per branch but viewable together on one page. Transfers carry a reference document on both sides, and each sale deducts the selling branch stock. The P.P.30 page works branch by branch from that branch documents. The owner sets per-person rights on which branches each user sees, and pricing is per active branch
Frequently asked questions
- With two branches, can I file one combined P.P.30?
- Only with prior approval from the Director-General, requested on form P.P.02. Without approval, file per branch
- Do branch transfers need a tax invoice?
- It depends on how the transfer is made and how each branch is registered, so ask your bookkeeper. Either way, keep a transfer document both sides can reference
- How often should branches be consolidated?
- Look at combined stock at least weekly to reorder and transfer in time; tax figures are done monthly per branch
