Issue tax invoices from your POS and file the P.P.30 every month
Once your business is VAT-registered, every sale needs a tax invoice, and every month you must total your output VAT and input VAT to file the P.P.30 VAT return. The way to avoid doing this work twice is to have your point of sale system issue correct tax invoices at the moment of sale, and have your tax reports pull directly from those documents.
Full tax invoices vs. abbreviated tax invoices
A full tax invoice must contain complete details: the words "Tax Invoice", the seller's name, address and taxpayer ID, the buyer's name and address (plus the buyer's taxpayer ID if the buyer is VAT-registered), the document number and date, the items, quantities and prices, and the VAT amount shown clearly separate from the price of the goods. It must also state whether it was issued by the head office or which branch.
Abbreviated tax invoices are for retail businesses that sell to large numbers of consumers. They do not need the buyer's name and can show prices including VAT, but the buyer cannot use them to claim input VAT. So when a corporate customer asks for a full tax invoice, the store must be able to issue one on the spot.
What your POS must be able to do
A point of sale system used by a VAT-registered business should do these 4 things without anyone re-entering data:
- Document numbers run in sequence with no duplicates and cannot be edited once issued (mistakes are corrected with a credit note or debit note)
- Issue a full tax invoice to a VAT-registered buyer on the spot, pulling the name, address and taxpayer ID from your customer records. Abbreviated tax invoices for retail, if issued from a cash register or POS, require approval from the Revenue Department first
- Separate VAT from the sales total on every bill automatically
- Post to the books for you: every sale records revenue and output VAT and deducts stock in the same step
From daily sales to the P.P.30 return
The P.P.30 return takes all output VAT for the month (from the tax invoices you issued) minus all input VAT for the month (from the tax invoices you received when buying goods or paying for services). If output VAT is higher, you pay the difference. If input VAT is higher, you can claim a refund or carry it forward to the next month.
In GORINY, the P.P.30 page totals sales, output VAT and input VAT from the accounting entries of the sales documents and purchase bills recorded that month, broken down by branch. Credit notes and debit notes are adjusted in automatically, and you can generate a text file for import into the Revenue Department's RD Prep program from the same page.
The P.P.30 is due by the 15th of the following month (filing online gets extra time according to the Revenue Department's announcement for each period). Try to close the previous month's sales within the first few days of the new month.
Common mistakes
- Issuing an abbreviated tax invoice to a corporate customer, who then cannot use it as input VAT, so you have to reissue it in a later month
- Editing an old bill instead of issuing a credit note, so document numbers and tax reports no longer match
- Forgetting to record purchase tax invoices, so you pay more VAT than you owe (input VAT can be claimed within 6 months from the month the invoice was issued)
- Multiple branches, but no branch shown on the tax invoice
Frequently asked questions
- Does a retail store have to issue a full tax invoice for every bill?
- No. Retail stores can issue abbreviated tax invoices. If you issue them from a POS machine, the machine must be approved by the Revenue Department first, and you must issue a full tax invoice when a VAT-registered buyer asks for one.
- Not VAT-registered yet. Do I need to issue tax invoices?
- No, and you are not allowed to. Only VAT-registered businesses may issue them. A business with revenue over 1.8 million THB a year must register within 30 days.
- Does GORINY create the file for filing the P.P.30 online?
- It creates a text file from the P.P.30 page for import into the Revenue Department's RD Prep program, which you then file through the e-Filing system. Check the figures against your actual documents before filing.
